Payment and Refund Policy

Last updated: 29 October 2026

Scope of the policy and the products or services it covers

This Payment and Refund Policy applies to all services offered by newsiflo through its website. The services include professional video operation, live signal management, content distribution, camera work, and the creation of reliable high-quality feeds for news programmes and television broadcasting. The policy covers both one-off service bookings and ongoing arrangements where applicable. It explains how payments are handled, when cancellations are possible, and the conditions under which refunds may be issued. This policy is intended for customers located in the United Kingdom and is drafted in accordance with UK consumer protection legislation including the Consumer Rights Act 2015 and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

Prices, currencies, taxes, and any additional charges

All prices displayed on the website are quoted in British Pounds Sterling (GBP). Prices are inclusive of value added tax (VAT) at the prevailing rate unless otherwise stated. Additional charges may apply for custom requirements such as extended broadcast hours, specialised equipment hire, or expedited delivery of live feeds. Any such extras will be clearly itemised before payment is authorised. newsiflo reserves the right to adjust prices to reflect changes in market conditions or regulatory requirements; however, the price confirmed at the time of booking will apply to that specific order.

Accepted payment methods, payment authorisation, and payment security

Payments may be made using major credit and debit cards, bank transfers, or other secure online payment gateways made available at checkout. All transactions are processed through encrypted connections that meet current industry standards for data protection. Payment authorisation occurs immediately upon submission of order details. In the event of a declined payment, the booking will not be confirmed and the customer will be notified promptly. newsiflo does not store full card details; processing is handled by certified third-party providers compliant with PCI DSS requirements.

Order, booking, or service confirmation and when a contract is formed

A contract is formed when newsiflo sends a written confirmation email following receipt of full payment or a valid purchase order. The confirmation will include details of the agreed services, date and time of performance, total price, and applicable terms. Until such confirmation is issued, no binding agreement exists and either party may withdraw without liability. Customers should review the confirmation carefully and contact newsiflo immediately if any details appear incorrect.

Cancellation rights and applicable cancellation periods

Under UK law, consumers have a 14-day cooling-off period from the date the contract is concluded during which they may cancel without giving a reason. This right does not apply once performance of the service has begun with the consumer’s prior express consent. For live broadcasting and time-sensitive media services, cancellation after the cooling-off period is generally not permitted. Business customers do not benefit from the statutory cooling-off period. Any cancellation request must be submitted in writing to the address or email provided on the Contacts page.

Refund eligibility, exclusions, and non-refundable items or services

Refunds are available where a service has not been performed and the cancellation falls within the permitted period. Non-refundable items typically include deposits paid for reserved broadcast slots, customised technical setups, and any services already delivered. Promotional offers or discounted packages may carry stricter refund conditions that will be stated at the time of purchase. Services that have commenced or been fully delivered are not eligible for refund except in cases of proven fault on the part of newsiflo.

The step-by-step procedure and information required to request a refund

To request a refund, customers should first contact newsiflo via the form on the Contacts page or by writing to enquiries@arqiva.com. The request must include the booking reference number, date of the original order, description of the service, and the reason for the refund. Supporting documentation such as confirmation emails should be attached where available. Requests will be acknowledged within five working days and processed in accordance with the timelines set out below.

Inspection, approval, rejection, and notification of the refund decision

Upon receipt of a refund request, newsiflo will examine the details against the terms of this policy. Customers will be notified of the decision by email within ten working days. If approved, the refund amount and expected processing time will be stated. If rejected, clear reasons will be provided together with any options for appeal or alternative resolution. All decisions are made in good faith and in compliance with applicable UK consumer legislation.

Refund method, processing time, and when funds should reach the customer

Approved refunds will be returned using the original payment method wherever possible. Credit or debit card refunds typically appear on the customer’s statement within five to ten working days, although this may vary depending on the card issuer. Bank transfers are usually completed within seven working days. newsiflo will provide a reference number for tracking purposes. Customers should allow up to fourteen days from approval for funds to reach their account before making further enquiries.

Special rules for digital content, subscriptions, services, or promotional offers where relevant

Many services offered involve live or near-live digital content delivery. Once a feed has been transmitted or a booking slot has begun, the service is considered performed and the right to cancel is lost. Subscription arrangements, if offered, may be cancelled at the end of the current billing period but no pro-rata refunds will be given for unused portions. Promotional rates are subject to the specific terms advertised at the time of purchase and may exclude refund eligibility beyond the statutory cooling-off period.

Failed payments, duplicate charges, chargebacks, and suspected fraud

In the event of a failed payment, the booking remains unconfirmed until successful payment is received. Duplicate charges will be investigated and refunded automatically once identified. Chargeback requests are treated as refund requests and will be assessed under the same criteria. Suspected fraudulent activity will be reported to the appropriate authorities and may result in immediate cancellation of the booking without refund. Customers are advised to monitor their statements and report any irregularities to newsiflo without delay.

Mandatory consumer rights in the target country that the policy cannot exclude

Nothing in this policy affects the statutory rights of consumers under UK law, including the right to receive services of satisfactory quality, performed with reasonable care and skill, and within a reasonable time. These rights cannot be excluded or limited by contract. In the event of any conflict between this policy and mandatory legal provisions, the legal provisions will prevail. Customers may also seek redress through the courts or alternative dispute resolution schemes where appropriate.

Contact route, policy changes, and last-updated date

Any questions regarding this policy should be directed to newsiflo using the contact form on the Contacts page or by emailing enquiries@arqiva.com. This policy may be updated from time to time to reflect changes in law or business practices. The current version will always be available on the website and the date of the most recent revision will be displayed at the top of the page. Continued use of the site after an update constitutes acceptance of the revised terms.
